Time Slot Allocation

Overview

Time slot allocation lets managers and administrators divide selected roster days into smaller parts of the day. This is useful when someone is working on more than one job, has a booking for only part of the day, or has partial leave.

You open this tool from the roster when one or more roster cells are selected.

Opening the Tool

  1. Select one or more roster cells.
  2. Right-click a selected cell.
  3. Choose Allocate Time Slots.

The tool opens with the selected staff and dates ready to edit.

Choosing a Project

At the top, choose the project you want to allocate time to. Existing projects from the selected cells appear as options, and you can search for another project if needed.

You must choose a project before saving changes.

Simple View

Use Simple View when you want to apply the same time-slot pattern across all selected staff and dates.

  • Click All Day to select or clear all available time slots.
  • Click a time period to select or clear that period across the selected cells.
  • A partially highlighted period means only some of the selected cells currently use that period.

Simple View is fastest when everyone in the selection should receive the same allocation.

Advanced View

Use Advanced View when different people or dates need different time slots.

The table shows staff down the side and dates across the top. Each cell contains the available time periods for that person and date.

Click individual periods to build a more detailed allocation.

Booked or Unavailable Slots

Some slots may be locked or unavailable:

  • A slot can be booked by the current project.
  • A slot can already be filled by another project.
  • A leave slot may only be available for partial leave days.

Unavailable slots cannot be changed from this screen. Review the existing booking, other project allocation, or leave record if the slot needs to change.

Saving Changes

Click Save Changes when you are finished. The app saves the selected time slots and clears the roster selection so you can start a fresh change.

If you clear every slot for a project on a selected day, that assignment may be removed for that day.

Tips

  • Use Simple View for bulk changes and Advanced View for fine adjustments.
  • Check the selected cells before saving, especially when working across several staff members.
  • If a slot is greyed out, it is usually already booked, used by another project, or not valid for the leave record.
