Roster Management Guide

Overview

The Roster Management page provides a comprehensive grid view of your staff's schedule, assignments, and availability over a specified date range. It allows managers and administrative staff to efficiently allocate resources, monitor staff utilization, and keep track of daily notes and leave across the organization.

Key Features

  • Dynamic Date Range Viewing: View your roster in either a 7-day or 14-day window depending on your screen size, with easy navigation between weeks and months.
  • Staff Filtering and Sorting: Filter staff members by specific tags or easily sort the roster alphabetically or by availability for a specific day.
  • Notes Mode: Toggle "Notes Mode" on or off to reveal or hide detailed assignment notes and staff notes directly on the grid.
  • Alerts and Notifications: Visual indicators highlight duplicated staff assignments and leave alerts for any given day, keeping scheduling conflicts in check.
  • Holidays and Leave Integration: Public holidays and approved staff leave are displayed natively within the roster cells.
  • Contextual Actions: Right-click on any roster cell to access a context menu for quick overrides, leave adjustments, and direct cell management.
  • Drag-and-Drop Scheduling: Seamlessly reallocate assignments by dragging them across the roster grid.

Common Tasks

Navigating the Calendar

  • Change Weeks: Use the bottom navigation bar to move to the Previous Week or Next Week.
  • Change Months: Click the left and right arrows next to the current month's name at the top to skip forward or backward by an entire month.
  • Pick a Specific Date: Click on the current month's name in the header to open a calendar popover and jump to a specific date.

Filtering and Sorting Staff

  • Filter by Tags: Click the Filter Tags button in the top right corner. A popover will appear where you can select specific staff tags (e.g., specific departments or roles) to narrow down the visible staff list.
  • Sort by Name: Click the "Staff Member" header column to sort the staff list alphabetically.
  • Sort by Daily Availability: Click on any specific date header (e.g., "Mon 12") to sort the roster based on staff availability for that specific day. Click the same date header again to revert the sorting.

Using Notes Mode

Toggle the Sticky Note icon switch in the top right corner to enable or disable Notes Mode. When enabled, relevant staff notes and assignment notes will be visible within the roster cells for quicker context reading.

Managing Staff Assignments

  • Assigning Work: Click or drag onto an empty cell to begin assigning a staff member to a task or shift.
  • Modifying Assignments: Right-click on a scheduled block to access the cell's context menu, which provides options for overriding schedules, marking as a non-work day, or adjusting leave.
  • Editing Staff Details: Admin or Payroll users can click on a staff member's name in the left column to open their profile update modal.

Top Navigation Bar

The Roster Grid

The core element where rows represent Staff Members and columns represent Days.

  • White/Light Blue Columns: Standard work days. Selected sort columns are highlighted blue.
  • Icons on Date Headers: If there are holiday icons (🎉) or alert badges (e.g., duplicate assignments or leave), you can hover over or click them for a dropdown containing more details. Roster Grid View

Staff Cell and Context Menu

  • Left Column: Displays the staff member's name.

Bottom Date Navigation
