Planner Filters

Overview

Filters help you reduce a busy planner down to the jobs you need to focus on. You can filter by who manages a job, who is assigned to it, and, when available, by milestone labels.

Use filters when the calendar feels crowded, when you are checking a particular team member's workload, or when you only want to see jobs at a certain stage.

What You Can Filter

  • Managed by: Show jobs managed by selected people, or exclude jobs managed by selected people.
  • Assigned staff: Show jobs where selected people are already assigned, or exclude jobs involving those people.
  • Milestones: Show jobs that have selected milestone labels on the planner.
  • All rules or any rule: Choose whether jobs must match every filter group, or whether matching one group is enough.

Using the Filter Menu

  1. Open the Planner.
  2. Click the Filter button in the calendar controls.
  3. Choose managers, assigned staff, or milestones.
  4. Use the AND / OR switch to decide how strict the filter should be.
  5. Close the menu when you are finished. The planner updates automatically.

Understanding AND and OR

Choose AND when you want a narrow result. For example, show jobs managed by one person and assigned to a specific staff member.

Choose OR when you want a wider result. For example, show jobs managed by one person or assigned to a specific staff member.

Milestone filtering works as an extra rule. If you choose multiple milestones, a job can appear when it has any of those milestone labels.

Why Your Selection May Clear

If you already selected days on the planner and then change filters, the app clears your current selection. This prevents you from accidentally editing a job or day that is no longer visible after the filter changes.

After changing filters, select the job days again before assigning people or editing milestones.

Tips

  • Start with one filter at a time if you are not sure why a job disappeared.
  • Clear filters if the planner looks empty.
  • Use milestone filters when you want to focus on work at a particular stage, such as delivery, review, or close-out.
