Organisation Structure Guide

Overview

The organisation structure tool shows who reports to whom in your business. It helps teams understand reporting lines and helps administrators keep the planner's staff hierarchy accurate.

Some users can only view the chart. Payroll and administrator users may also be able to edit it, depending on your organisation's enabled features.

Opening the Organisation Chart

  1. Open Tools.
  2. Choose Org Structure.

If the menu item is missing, your account may not have access, or the feature may not be enabled for your organisation.

Reading the Chart

The chart is arranged as a reporting tree. Managers appear above the people who report to them. You can use expand and collapse controls to reduce clutter when a branch has many people.

If the chart is still loading, wait for the loading message to finish. If the chart is empty, you may see a prompt to start building the structure.

Adding Someone to a Manager

People who are not currently on the chart appear in the side list.

  1. Find the person in the unassigned staff list.
  2. Choose to add them.
  3. Select the manager they should report to.
  4. Confirm the change.

After the change saves, the person appears in the chart under their manager.

Changing Someone's Manager

To move someone already on the chart:

  1. Select the person's box in the chart.
  2. Choose the new manager.
  3. Confirm the change.

The app prevents obvious circular reporting lines, such as making someone report to themselves or to a person who already reports to them.

Removing Someone from a Manager

Use the remove control on a person's chart box when they should no longer report to their current manager. You will be asked to confirm before the change is saved.

Removing a person from the chart does not delete their staff record. It places them back into the unassigned group so they can be allocated again later.

When You See a Separate Branch

Sometimes a separate branch appears beside the main chart. This usually means there is a group of people that is not connected to the main reporting tree yet.

Use the same manager selection steps to connect that branch back into the correct reporting line.

Troubleshooting

  • I cannot edit the chart: Your account may only have view access.
  • The org chart menu is missing: The feature may not be enabled or your role may not include access.
  • Someone is missing from the chart: Check the unassigned staff list.
  • The chart looks empty: Wait for loading to finish, then start by assigning unassigned staff to managers.
